Events

 

Every Society is able to run an event, whether it be on campus, off campus, a trip in the UK or abroad, or even just a social. 


The following guidelines must be followed when a society organises an event (for example a performance, or a trip).


• Notify VP A&D or Activities Office staff of any preliminary plans for an event
• Submit an Event Planner and Risk Assessment to the Activities Office in due time – nothing can be approved or booked until this has been completed
• The transactions of the event must be processed via the SU society account
• Any contracts, deposits, or any form that makes the society or SU liable must be signed by the VP A&D (or any other Sabbatical Officer if unavailable), the SU Chief Executive or Deputy Chief Executive

• The event must be authorised by the Students’ Union before it can be booked and paid for.

 

Please note, if the Event Planner and venue hire contract is not signed off by one of the authorised signatories, the society’s president and treasurer become personally liable for any financial loss. The Students’ Union will accept no responsibility for any losses incurred.
In some circumstances the Event Planner may be submitted to the Students' Union Events Committee. The Events Committee will discuss the event proposal and agree whether it may proceed or not.


Failure to follow these guidelines will result in disciplinary action (see Breaking the Code).
