Buying Food for Large Events
If you're thinking of holding an event with lots of people with refreshments you should take advantage of the Cash and Carry. You will need a Cash and Carry card which needs to be authorised by the Finance Office.
Food and Hygiene Regulations
Many cultural societies love to hold events with food which we all enjoy. However, new EU rules have been brought in regarding health and safety with catering.
1. No cooking can take place at the Students Union
2. No food can be re-heated
All the food will be provided by outside restaurants on a take-away basis.
We are not allowed to have home cooked food on the premises.
All the restaurants have to provide a food hygiene certificate provided by BANES council and they also have to provide us with copies of their liability insurance. We have to produce all these papers BEFORE the event takes place.
Make sure you consider things such as drinks licenses and NEVER rely on verbal contracts, always get something in writing and get it checked by an appropriate member of union staff. Think about how you intend to pay your acts and venue and ALL society-organised events should have their event budget approved by the VP Activities & Development, then if you incur a loss on the event you can use your society funds to absorb the costs. If the SABB does not approve the budget then the society president and treasurer become personally financially liable for any loss. If the union is going to approve the costs of your event we will insist on a break-even budget.
