University Employment

If you are a member of staff working at the University of Bath and wish to employ a student, advertise a job or have a query regarding pay or deadlines, you'll find all the information you need right here. Please note that students will not be set up retrospectively for work carried out and will therefore not be paid unless they have been in to JobLink with their details before they have undertaken any work.

All students are now required to prove their eligibility to work in the UK BEFORE starting their jobs. These must be brought to the Joblink office (1E 3.11) in person, along with the rest of the registration forms

  • List A - Documents required to prove ongoing eligibility for work
  • List B - Documents required to prove eligbility to work for up to 12 months

Advertising your vacancy

All University jobs should be posted through JobLink. You are contravening the University's equal rights policy if you do not do this. By offering the role to as wide an audience as possible you are more likely to find the right person.

There are some jobs (such as invigilators and some research posts) that need to go through the Human Resources team. Your HR Manager can advise you on this.

Deadlines

JobLink works closely with payroll to ensure as many students are processed for pay as possible each month. In order to do this we have strict deadlines which fit in with payroll's processes.

If you have any questions about timesheets or pay, please contact the payroll office.  

Timesheets


Please note that JobLink does not process timesheets. The top copy (white) must go to Payroll (WH 4.12) by the deadline date (see above).

From August 2009 the Position Checker & Timesheet Tool enables you to verify which positions your student employees have been set up to work in and when the position is due to expire.

The tool also gives you the ability to print out timesheets for each role in which your staff are working. The benefits for printing them out is that they are pre-populated with the appropriate codes for the specific position and this clarity will reduce errors in the processing of timesheets.

If you or your student has a query about their pay, please contact the payroll office on extension 3814 or email payroll@bath.ac.uk .
If you would like to check whether your student has been set up on the payroll system please email joblink@bath.ac.uk.

Student payscales

The University’s Human Resources office sets pay scales every year for all staff. This is the same for student staff and all student workers need to be paid on this scale. Although the bandings tend to be quite broad we expect you to make justified decisions about choosing the right pay.
 

Casual Worker Starter Forms

If you would like to download a Casual Worker Starter Form, you may do so here. This will enable you to pre-populate your fields before interviewing the student, and once you've printed it out all you need do is sign it. Please make sure you print it out onto blue paper otherwise payroll will be unable to process the form. Hand the original form to your student and ask them to come to JobLink to complete the rest of the forms. Please note that this must be done BEFORE the student starts any work for you. 

National Minimum Wage

From October 2009 the minimum wage for adults (workers aged 22 and over) will rise to £5.80 from £5.73; the national minimum wage for workers aged 18 to 21 inclusive will increase to £4.83 from £4.77.
